Notes

Notes are a powerful tool within Clinked to customise your member's experiences. They can be used as your Group's Home page to communicate the desired experience, documents for collaboration with members, data visualisation from other systems or video content designed for members. 

This article will explain what notes are and how to use them in Clinked by covering the following:

Introduction to Notes

Notes provide an easy way to collaborate or share information in a Group. In addition, the information contained in note pages, unless otherwise permissioned, can be edited by all members of the group simply by clicking "Edit" and then making changes as you would on a word processing programme. Notes are an easy-to-use wiki platform equipped with familiar word editor features and are optimized for multiple editors who can co-operate on writing and managing documents.

This means that anyone in the group can make changes to documents without needing any technical knowledge.

Notes can host multimedia within the page. You can embed JotForms, data visualisations from other sources, documents, videos, images, links and tables.

Readers can also make comments at the bottom of the note, therefore, allowing for immediate collaboration between group members that link directly to the note and can be viewed by other group members at any time.

 

How to create a Note

Follow the steps below to create a Note

To create a note, navigate to the group you'd like to add the Note. 

Step 1

Click on the Notes icon & press the green button 'New Note' (this will be available for Group Administrators and Group Contributors).

Step 2

Enter a note name, set desired permissions, and enter text/links/images as you wish to customize the Note. You can preview the Note, and save it when complete, you will then see the Note appear when you click on the notes section of the group.

Step 3

Start collaborating on the notes with those permissioned to edit or using the collaboration tools at the bottom on the note.

How to apply permissions to notes

You can set permissions on notes to restrict who can view or collaborate on them. 

To set permissions on an existing note, go to the permissions icon at the bottom of the note and click into it.

Permission options:

  • Group Members: All members in the group can see the note. Using the dropdown, you can select whether you want group members to be able to view, view & edit, view/edit & delete or or administer the note.
  • Individual permissions: To set individual permissions (e.g. if you only want specific members to have access to the note) select the 'Add from Group Members' button. Then, select the members who you want to have permissions on the note, e.g. here Francisco and Sam are selected. 
  • Here, you also have the option of setting permissions via user tags or email address, alongside the group member list.

How to host multimedia files (links, images, video, documents)

In a Note, you can insert links, images, videos and documents by clicking on the insert dropdown within a note. 

Below are the steps to do this: 

Step 1

Navigate to the notes & click "Edit" in the top right corner.  

Step 2

Select the "Insert" dropdown & select the option that's right. These include: 

  • Insert Link
  • Insert Image
  • Insert Video
  • Insert Document

For example, to insert a link- paste in the URL and select the note you want the link to be in.

Step 3

Once you've inserted and made additional edits, click "Save" 

Below is how the URL in the above example will appear:

If an image had been inserted, you will choose to upload an image and then make formatting edits. See below example.

For videos - it is best to use embed media- see embed media section of the article. 

 

How to use JotForm

In Clinked you can create a Jotform as a type of note. Jotform is a web-based form builder, see the example below of a summer party invitation that can be edited live in Clinked.

How to use iFrame

You can use notes to create iFrames. An iFrame is tool used to create & apply a private tokenized link that can be embedded into other systems. 

You can customize your dashboards by bringing in other sources (such as Google Sheets, Databox & Tableau) for your clients with iFrames. Embedding an iFrame is the method used to insert data from another source for visualizations into a Note in Clinked. You would select this embedding option for articles, Google Sheets etc.

How to embed media

This section will explain how to embed media into a Note.

To embed media in a note, firstly navigate to the group homepage & select the green 'new note' button.

Then select 'Insert' > 'Embed Media'

Paste in your url, e.g. a Youtube video link

 Type in a note name, and save. You can also set permissions here if you wish.

The note will now appear in the notes section and be available to interact with the embedded content.
